How to use the new Web Parts within SharePoint Online

[00:00:03] Hello everyone and welcome to SharePoint Power Hour. This is our weekly show where I demonstrate different topics in SharePoint and Office 365. I’m Laura Rogers. I’m a SharePoint MVP. And today my topic is going to be the new modern web parts that exist right now in SharePoint Online. So first of all, to get you all oriented here, we have the description in this streaming show is going to give you a link to join our live discussion in my Slack channel. [37.2]

[00:01:18] So the way this works is that I’m going to be doing my live demo. And I do have a 30 second delay turned on for as far as me talking. And then you see me because I don’t want you to have any kind of issues with the streaming or buffering and things like that so I think that that will help. And then we have the description for this video, we have a link to get to the select channel and that’s where you can see everybody and have a conversation and chat and ask questions while the demo is going on. And so I’d like you all to go ahead and jump in there and say hi and let me know that you can see me and let me know that you’re here. Say good morning and I am going to talk a little bit about what our topic is. While I’m waiting for you guys to say hello. So again the 30 second delay is a little awkward but I wanted to make sure that we don’t have a lot of issues with the streaming and buffering and things like that. So all right. If you are using Office 365 You may have noticed that in the past just in the past few days or so depending on what release that your tenant is in like if you were in early release or not you’re actually going to see this new page editing and offering experience that exists in here. [00:02:47] So it’s just appeared there so what I’m going to do now is do a demo of how you can get to it and look at all the web parts and I actually just wrote a blog post on wonderlaura.com, not on just a couple of days ago about going through all these new modern web parts and what they do etc.. [21.0]

[00:03:09] And the cool thing about it being in an Office 365 is that there are going to be new ones and there are going to be a couple at least that I know of right now that are going to be new fairly soon. [10.5]

[00:03:20] And so I kind of listed those at the bottom of the blog post but we’ll go ahead and go over all the ones that are in there right now. So this is probably a blog post that I’ll be updating and changing as time goes on as new web parts appear. And it’s kind of maybe different things about the web part. [18.5]

[00:03:39] Page editing experience appear. So let’s go ahead and get right to it. Go ahead and share my screen here. [8.8]

[00:04:05] So now I’m this is actually my tenant that I use for when I’m teaching my SharePoint training class all my students get an account here in my tenant. So this is where I started, this is where I wrote my blog post from and this is where I started kind of playing around with this new authoring experience. And so next kind of show you just where you can find it and where I started and then walk through all the way that exists now for the way that you can edit web parts. All right so you’ll notice that I have actually this is my home page and I’ve actually already converted that to use this new modern experience. And this is just when I created my blog post this is what I put on the page but I’ll go ahead and show you where you can go to get to all this. So I’ll go ahead and go to site contents and then go to this nice little new button. [53.5]

[00:04:59] So look there it is, this is the location where you can go create a new modern page. You can’t necessarily take your existing pages and convert them because nothing none of the web parts and anything that exists on it any way would translate over to the new experience and the new web part. So you’re going to be creating new pages and using the new web parts which are completely different than what you’ve used before. So let me get this over here. [28.1]

[00:05:33] OK so I’ll go new into page. [2.3]

[00:05:44] And then it does have a. And now also my resolution is a little large on here. So that’s probably adding to kind of how gigantic this page area looks because you know I have the high resolution for the Screen Sharing and how this video is going to turn out but it gives you a quick way to name your page. I’m going to say like about us whatever you want to call it. And then you have you can notice up here that you can save and close it. I haven’t published yet. I haven’t published the page yet and that just uses regular old you know publishing features in SharePoint But what I can do is this is this little Plus this is going to be the important part. [42.4]

[00:06:27] This is where you add web parts. So it’s pretty intuitive. It’s I mean think about kind of the way that that web parts of existed before and how you kind of you had that training it kind of had to understand what was going on and how to go find things and how to go at it the settings and then you had a lot of these just obscure settings and just a lot of overhead so you know this mindset think about Don’t think about it this as I know you live you might be freaking out Don’t think about this as oh my goodness all the stuff that I’ve been doing before I can do it anymore where my web park connections where were all my Advanced Settings. It still exists. You can still create the other kind of pages that you’ve been able to create. So think about it as I can just hand somebody ascites and have it make sense to them and have them not have to have a lot of intensive training and to learn how to do web parts and it’s all just going to be very obvious and easy for especially for people that are new to SharePoint. So kind of what kind of you got to let go a little bit and put yourself in a different mindset with that and think about how easy it is and think about how pretty and modern These pages are going to be. All right. So a few simple we have a. These are these are our web parts. [1:21.7]

[00:07:49] So right now these are what parts text image documents office receipts video content embed highlighted content and quick link site activity and camera feed. [11.0]

[00:08:00] I do have a favorite. I might actually save that one for last but we’ll go ahead and go through all these. So first of all text is just going to be just free typing free form text on a page says stuff about us. [16.2]

[00:08:16] We are cool. All right. And so you can do just some basic formatting like make it a heading and you know make it a subheading or whatever you want to do and then you have just some super basic things like making things bold or creating a quick hyperlink or clearing your formatting. So again super simple. They [23.6]

[00:08:39] got it kind of narrowed down to I guess the most common things that people do and then very simply you can just delete this part using the delete button when you don’t want to have it anymore. So I’m not going to delete that. Oh go ahead. And so I can add another web part here using the plus button still have plus buttons above and below each one. So for this one I’ll go ahead and add an image. [24.9]

[00:09:05] Now this is really nice. Think about the pain of adding an image you guys chime in in the chat window if you agree and remember that there’s a 30 second delay so tell me what you’re going to think about the pain just the image web part that we’ve always had in SharePoint. You can insert the image part then you had to go find where the image was in and end user like a business user had to have the understanding of getting the you are l of the image and then putting your L in the web part settings and then kind of the size of the image and just all these things that you know for I.T. people is not that much is just a few steps but look how nice this is. We can just pick an image so we can just these are just a few logos of mine but we can pick a recent image that we’ve been working with but we can also go navigate through the sites and go find images that exist in a library and we can kind of navigate back and forth and we can even upload the image from over here. And we can alternately upload it from here. So it gives us a lot of options that are very easy and obvious. So just click this one and like open and then that sticks my little image on the page. When you do when you’re doing this this is going to put the image on the page as the actual size of the image. [1:26.3]

[00:10:32] So that is kind of something like a gotcha there where you have to know how to go make the image smaller ahead of time to make sure that it doesn’t show huge on the page because when you go edit the properties for this web part using this little edit button this is the only option that you have. [18.4]

[00:10:51] So my logo or something like that. OK. [3.7]

[00:10:55] So this is some web parts we’ll just have a delete button some will have the ability to do further configuration and then some of them will give you the ability to add a caption like the video and images and things like that. [14.1]

[00:11:13] All right let’s go see just kind of as we get let’s go publish this page and see what it looks like. [4.4]

[00:11:21] All right. So again we had this big blank area I think that a lot of people are given have given Microsoft feedback about this how we don’t kind of really need this big empty space up here. [10.5]

[00:11:34] All right so now I’ve got some of the verbiage that I typed on here and then my little caption under the image and then when I see when I hover over the image does it give me my little old text. [11.5]

[00:11:46] I certainly see it. That’s fine. All right so let’s go back into how do we go back and get it moved. You click the little edit button up here. [8.7]

[00:11:59] OK. Now let’s scroll down again. I can’t put a web part above or below any of my existing web parts. [6.5]

[00:12:08] So I’ll go ahead and keep’s I’ll just put one right here. Just for fun. And now here’s the option to insert a document. [6.9]

[00:12:16] And these are all like my training manuals and things like that for my class. [3.6]

[00:12:20] So I’ll go I’ll go ahead and take that one and open it. [6.3]

[00:12:28] All right. Now that’s pretty huge. That’s my. It’s going to take up the whole screen. But that’s embedding my PowerPoint presentation on the page right. That’s my power user class that I teach. [12.9]

[00:12:42] And then I can put a description under it. [1.9]

[00:12:51] All right. [0.3]

[00:12:55] OK. So then let’s go look and see does this one have any settings. Let’s go look at the little pencil here. [7.1]

[00:13:03] Hopefully you guys are trying this along with me if you have a tenant or you know go create just a trial tenant for yourself and just get you know go kind of start playing with the stuff it’s really fun. You can say what slide you want it to start on. So maybe I only want it to start on Slide 2 so now when people go to this web page and they’re looking at this web part it’s automatically going to start on Slide 2. And when you have you can’t spell class. There we go. And when you have a ring you inserted a word document on the page. It’s going to say start at a page number so you’re just doing a page instead of slide number. All right what do you guys think about this or you guys have any you know freaking out about the new look of this or do you think it’s good or do you agree about it being awesome that it’s easier for people to be able to learn SharePoint now in a simplified way. So I’d love to hear from you guys in the little power. Our hash tag power our channel. All right. So let’s go do another one go and another part. Office 365 video now. This is one where it does start to get a little awkward. It doesn’t have a nice pretty little picture where you can pick a video you actually have to go over to the portal and get it. But at least it has a link here. [1:15.6]

[00:14:19] I can just click go to my organization’s portal and now it’s taking me to my office 365 video portal. Alternately I could have gone to the waffle up here and gone to video up here to get to the same place. [13.8]

[00:14:33] So this is when I teach my SharePoint training class everybody gets access to the recording for 30 days. You know after they’ve taken the class all here in my video portal. So here for example might like my workflows and forms. Those are the four days of my workflows and forms class. So I’ll just go click on one of those. Then you have to just click on one and go and grab the whole you know like that. So that’s a little bit awkward it’s not the most smooth. It’s the next type of part it will show you is going to be the content in bed. [32.3]

[00:15:05] What part. So this is going to be similar to what we have with the content embed on current pages where we can go to the Insert tab just on the web per page or Wiki page and do content embed. And that’s where you can go to some video on YouTube. [15.6]

[00:15:21] Click the share button and go to the embed tab here and grab that code and then that’s where you would paste it in here and resize to fit the page. [12.1]

[00:15:34] So I guess they’re suggesting that you do that because the default is turned on so as soon as you paste the code on there immediately shows it here. And look I’m not clicking so. I would just take and it’s not just for YouTube it’s going to be for video or anything else. There are a lot of different services at all listed in my blog post where that will give you the embed code that you can use in here. It has to be an I-frame and it has to be secure so as to be in a sheet. [25.2]

[00:16:00] So it’s very particular about that. All right. Let’s go to the next part tight here. They’re not necessarily called web parts. You’ll notice I’m just calling them what parts but it doesn’t say what parts anyway. It’s just basically you’re clicking a button to add a feature. I’m going to skip it highlighted content because that’s my favorite. I’ll save that for last. I’ll go to quick links quick links is kind of like the idea of adding hyperlinks to your page. [30.1]

[00:16:32] So I can go click ad here and see create a link to and then it remembers some of the most recent files that I’ve gone to. [12.6]

[00:16:45] So it’s going to put the URL in here for me and then create the title for me and I can edit if I like. Again this is a huge improvement over think about just the regular old links. What part are links list that we’ve had and SharePoint you had to go find the item you want to link to go grab the URL to it go back to the web part paste it in there and just a few extra steps that you had to do. So now I can just say I want to create a link to this file and I can add it. Now this is this looks a little bit different than when I inserted it as a document. So it’s just kind of for the file itself for the document. It looks a little bit different but think about just something that’s not a file on my site like maybe I’m going to go to being dot com and I can just type being. [52.3]

[00:17:39] See what that looks like. [1.1]

[00:17:42] And then I can go and another one and do that one. All right. [12.8]

[00:17:55] And just go save the page and see what that looks like. Yeah it’s giving me a scroll button because these are so large that it can’t put them all next to each other on the page and it doesn’t give you the ability to change the size of them. So that’s not necessarily the nicest interface but you don’t really have any. You don’t have any settings so it’s got a Edit button but it doesn’t have actually any settings that you can and it would be nice if those were smaller but that is how you could add just other hyperlinks. And if it’s content from SharePoint it’s going to automatically put it as something nice looking. [43.1]

[00:18:38] So let me say like my resources site I already know what the URL is so I’ll go at that and see what it looks like when you’re showing another sharepoint site on here. [9.1]

[00:18:58] Sites resources. [6.4]

[00:19:07] So anything that’s going to be SharePoint content I believe it’s going to look a little bit nicer. [4.7]

[00:19:12] You go ahead and say that and see if it really just looks like you were old or something. [7.9]

[00:19:20] Well OK so let’s go ahead and go back in the edit mode and let me know again if you have any questions as we go. [9.4]

[00:19:30] I’ve got a lot of feedback from you guys about that video that we got you all just coming out of the woodwork. OK. Go ahead and add another one and we’ll go ad the site activity. This is another web part that it pretty much has no configuration nothing to do in here. But it’s just a pretty little list of all the things that people are working on right now and again. So this is based on sharepoint search. So this is based on all the content in your site that’s being indexed and it’s just doing math behind the scenes and it can tell what things people are working on the most and what things people are clicking on the most in the most recent files. So it’s automatically just showing you all just the site activity from your site just default set of content that the nice thing is you don’t have to know to go do anything to change this to change it to have more relevant files in it. It’s just low maintenance. So think about this think about like just setting up a site for someone and handing someone a team a site for the first time. You could stick this activity web part on their home page. Think about all the times you’ve handed out teams type to somebody and you put maybe documents in a calendar or something on the home page and no one ever touched anything on the home page from then on they just use some files and that was it. Has that ever happened to you. All right. So think about that. [1:29.3]

[00:21:00] Just stick this on the home page at least so they’ll have some relevant content automatically showing and it’s automatically going to be security trend because it’s based on sharepoint search it’s based on things that I have access to Stewart the way you get to this is by going to site contents and clicking the New button at the top of site contents and choosing page there isn’t like a switch to turn it on. [25.4]

[00:21:25] You just go and see if you have that in the New button on your site. OK. Next part is going to be feed. All right so it can go at a gammer feed here. Not sure if I feel like doing that but I would go put the address here. I can go ahead and do it. [21.3]

[00:21:47] Murphy let’s see oh this is my demo Tennet that it’s trying to block me and just do that. [11.4]

[00:22:05] Now I’m just sorry. I still want to put my you know I don’t want my real damn yammers stuff in the in the demo. I’m just going to leave it alone. So I actually did show a picture of that in my screenshot but we’re not going to. It’s just showing him repeat on the page. [16.9]

[00:22:22] So at least that you know. Remember the old gamer web part. That was kind of clunky and you kind of had authentication issues. This looks like it’s smoother and it’s just the only settings you have are small medium medium or large. I wish some of the other web parts had a small medium large option as well. Carol Lin says there’s an option to add scripts to your page of use to hidden content editor pointed to a javascript file that option still available. [25.5]

[00:22:49] You can do embed code but I don’t think anything that you did with client side rendering or javascript is going to be applied to these new pages at all. [11.4]

[00:23:01] So no client side reading or code or javascript is going to work with any of these web parts. So whatever you’re doing with your javascript right now in part there isn’t going to be a reason to do it with this kind of page. This is super simple there isn’t anything like that in here. [17.1]

[00:23:19] All right. So let’s see what did we finish going over the Yammer was the last. [6.5]

[00:23:26] OK so now I get to go to highlight content this is my favorite one. [3.2]

[00:23:32] OK highlight the content. It defaults to a few things highlight of content is like a replacement. [7.0]

[00:23:39] It’s sort of the new simpler version of the content search where part K content search where parts really cool and it’s got a million different things you can do. And it’s very powerful. But again think about just the typical business user who doesn’t have a Ph.D. in SharePoint and them trying to navigate around in that interface. It’s just sometimes it’s a little bit much. So this is like a super simplified version of the content search what part. Don’t worry guys you didn’t lose your content search web part. You can still create web pages and wiki pages and use it there. This is just going to be a completely different interface. [37.3]

[00:24:18] So here’s the way highlighted content works. I have a source and I can say this sites the site collection or all sites and then I can pick what type of contents I once like documents pages videos images events issues task contacts and all. And then I can add more of these. [24.7]

[00:24:44] So right now I have a feeling that there are some other ones that I expect to see here but even if you don’t see some content type that you’re used to using or a custom one you’ve created there’s still going to be other ways that we can get to to narrow it down to see that content and actually might over it might flip over to my other tenant to look at some. Yeah. To look at some of this and to look at because you know I have tenants that have just a lot more sort of fake content in them. [31.8]

[00:25:17] So I’m going to go ahead and do that when I go control ship and go to my own private browsing and pull up my other demo tenants. [7.7]

[00:25:25] And then you guys let me know what you think about this so far. [3.0]

[00:25:50] I love that nice empty logons site. OK. There we go. [3.7]

[00:25:55] OK so let’s go to this tenant Tennent and again how do you create a new page like this. You go to site contents and click new oh this tenant doesn’t have it. Aha interesting. So some of you might have tenants that have it and some of you might not. So my other time at my demo tenant that is in her first release cycle does not have it and my IWM entertainment does so that’s fine. All right. So what I’m going to do is so you have different types. [25.9]

[00:26:21] So once you select a source you can select a type but want some so like some types that you select will give you a narrowed down list. [8.8]

[00:26:30] So for example when you choose documents you can choose a specific type of documents. And as you change the settings in here it will change what you see on the page just immediately. [12.0]

[00:26:43] Right. If you don’t see a page in your site contents page when you click the new button you don’t have this yet and your tenant. So it’s kind of like a roll of the dice right now since this just came out. [10.5]

[00:26:56] All right. So I can choose when I choose documents I can narrow it down to a document type. And like if I choose videos it doesn’t have that. So if I choose like documents I think documents is the only one that does it. But then it documents what it gives me document type down here. See for the other ones it goes away. Yeah. All right. So documents I can choose a specific document type I’m going to go ahead and say instead of documents I’m going to say all. And then the next section that you’re going to have noticed that you can add a different document type though so I could just say type as documents and then add another one and say type is power points. [51.2]

[00:27:48] So now I’ve got just documents and PowerPoint so that way you can get a little bit granular in here and it’s not going to be too bad with no feeling that you don’t have to feel like you’re stuck with just picking one thing in here because you can add more of them and you can remove them as you go as well. Filtering and sorting. So you do have some powerful options in here you have some pretty simple options and then you can get a little bit more advanced in here. [28.9]

[00:28:18] Title includes the words. So let’s see if I type power. That should narrow it down to things that have power user. Now I have one that’s the power of content type stuff like that. [10.3]

[00:28:29] So I can search for title includes power and then I can say content includes the words. So like everything not just the title of the file but everything in the whole file might contain that word. [14.7]

[00:28:43] I can do that. [0.7]

[00:28:46] See I have like like I do fast for fast class or whatever anyway. And then you have recently added. And then when you choose recently added those are going to be files that that’s based on created that’s the created date. So recently and it is going to show you files that are newer let me scroll see look when I chose recently added earlier this month. I don’t have anything showing. See it narrowed it down to nothing to it so let me see. Let me get rid of make it so that it’s not filtering it so much. And so now I’ve got in the past month I’ve created this one file. Also as you’re creating as you’re filling out this web part you’ll notice that. See how I said sort by most recent and actually will give you a default name of your web part. Based on what you pick here so I can say change it to most viewed recently and earlier this month sort by most viewed and it’s going to change that. But then I can type whatever I want. Nice. All right. So it will give you a suggestion of a web title which is nice but then I can change it and just type something else on the page. You know what I think about it I could also just add some text here if I wanted to add some additional text to describe something right. So I’ve got my source all sites type is documents and then any document type and then let’s go back down to filtering sorting. [1:35.5]

[00:30:22] So I have recently added so it’s filtering it as soon as I choose recently added or recently changed that’s going to be the created field versus for recently added and the modified field for recently changed. So those are going to be. And then whichever one of those two date options that you pick it’s going to say since when since they don’t have today. Yesterday earlier this week early this month last month. So since earlier this year. So that’s going to be pretty much everything within the year. It will show things that are recently changed sorted by the most views. [39.7]

[00:31:02] So this class SharePoint workflows and forms training class we worked really really hard on this class. When I look at the revisions there’s like ninety nine revisions we had three of us working on this file and we worked for you know like a couple of weeks solid getting that put together so that makes total sense that that is the most viewed file because we worked a lot on that file more than a lot of these other ones. [24.3]

[00:31:27] That was a very extensive lab file that we created for that workflows and forms class. All right. And then we have trending which is a little bit different. It’s going to be just kind of based. Again this is based on all the math going on behind the scenes with with SharePoint search and just kind of the most popular things that are that people are clicking on Carl Krasik says I still don’t see how to add a list to the page. [29.2]

[00:31:57] There is not a way to add a list to the page. You can. You can use this highlighted content and change it to list you would use the highlighted content Web part though to add a list to a page but you have to use this to find it to to filter it. So like if I want to save this site events I don’t have any. [22.7]

[00:32:20] You don’t have any events in this entire site collection. Oh look at that. OK. So if I want to see maybe a list of events and I want to show them in a web part. That’s what I would do. [11.9]

[00:32:33] So you’d have to go point to what type of content it is that you want to display in the web part and then use the filters to narrow it down to what specific set of content. OK. So there is not going to be. Look there’s not a filter for what site it’s in or what list it’s in. [17.4]

[00:32:51] That’s where your source is going to be. So like maybe this site I don’t have any events so I’ll change it to like this site and documents. [8.4]

[00:33:01] So this is how I can show all the documents that exist in this site and I can say maybe I only want to show 5 and that’s where my paging comes in. [8.8]

[00:33:11] Right so no there is not a way to just add a list view web part under this type of page it doesn’t exist yet. The highlighted content is the closest thing you’re going to get to that’s a little odd isn’t it. All right so filter and sort we’re still going through the options here for the filtering we went through. [17.7]

[00:33:29] Title includes the words content includes the words recently and it is based on created recently changed is based on modified and then created by and modified by. [10.2]

[00:33:40] So we can put a person’s name in here so let’s see I’ll do like fori and see if Corey created any files yet. [7.9]

[00:33:48] So there are some files that he created and then let’s see if I can do me in here. [7.1]

[00:33:55] I think I can you know I can’t do me. That’s good to know. All right. So then created by a modified by are going to be people fields look modified by me filter’s it interesting what’s my filter modified by me that’s word that it didn’t have anything created by me. [23.0]

[00:34:19] That doesn’t make any sense because I created most of the content in here. Maybe you just took a second to refresh. [4.5]

[00:34:24] OK so me does work. So this is really powerful for just like with your list in library use and SharePoint you can have whoever the person is that’s looking at the page. You [12.8]

[00:34:37] can make it show their content so created by Ezekial to me or modified by is equal to me and all documents that’s immediately going to show the person that’s looking at the page all the files that they’ve been working on just in a nice neat little package just in whatever sort of sort order you pick here. [18.8]

[00:34:57] And you can do multiple filters here so I could say created by me and recently added. Earlier this month and I only have one that I did. So you can narrow it down and you can keep adding filters. I think I clicked this about 50 times and I kept it let me just keep adding more of them. So you’re going to be able to add more filters to it which will help you narrow it down. And then we’ve got more filters here so last month earlier this year last year. Those are all the data things. But then we also have managed property. This is where it’s a little bit more advanced. This is kind of where we get into the nitty gritty and why I wanted to save this web part for last because there’s a lot of potential here. OK. When I look click this drop down box to say manage property name that’s going to show me all these sort of like site columns and all the managed properties coming from like the root level of office 365. So not only do you have all the properties just like in the content search part not only do you have all the properties from things that are site columns but you also have all the properties from all just the people properties. This is the highlighted content part. It shows it up here. [1:20.5]

[00:36:21] All right. So I can go pick a property or I can go type the property or I can just type like a sign and whatever word I type it’s going to narrow down my list to like you know to go to find a property because there are so many of them in there. [17.1]

[00:36:39] So I type a sign and I get assigned to I can type tag and I get several different tag ones going to do tags and so tags equals or tags contains let’s say How’re. [16.5]

[00:36:59] Yeah there we go. So I have a tag. So remember I have done previously and a presentation. I taught you guys about the enterprise keyword setting. If you go to any lists or library you can go to that library settings and choose enterprise keywords and you can check the box to turn that on. And that will give you just an enterprise keywords piece of metal data on that list or library so that you can just quickly tag things and users can quickly tag things in more like a unstructured way and that uses management of data. So when you are using Enterprise keywords or management or data that tags property is going to be powerful. So one way that you would be able to using this functionality that you would be able to have this web part just show the files in one library is you can utilize this tax concept. And I’ll do a demo and show you of course search will have to run after I do it so demo how it would work. And then on the search indexes not necessarily going to show it in part immediately but well we’ll go through that. Since you guys seem to be concerned about that managed property name is again you find your managed property there have a jillion of them in them and they’re in the whole full list. [1:18.0]

[00:38:17] Then once you pick your manage property equals doesn’t equal begins with contains doesn’t contain etc.. [6.0]

[00:38:24] And then I kind of mentioned this sort by so sort by you actually can also do manage property. [6.7]

[00:38:31] So when you pick managed property for sorting we’ll see maybe I’ll do title everything has a title so just that some do the title field it’s not tied. [15.7]

[00:38:50] Why would that not have title in its very strange. [7.3]

[00:38:58] So let me try that again. [1.0]

[00:39:14] Oh so it doesn’t look like it’s actually sorting it by title but theoretically that is where you could sort things by a certain property. [9.3]

[00:39:28] I just do by most recent. Yeah if you want it if you don’t if you want to do something other than just a date or how popular it is you’re going to use this managed property. And that’s where you’re going to have to have the managed property in the first place so those are going to be all you know. Not every single column in every list and library is going to show here so this is actually behind the scenes there are a lot of extra steps you’d have to go through to be able to have some custom column of your own to make make it a managed property that’s going to be some that we’ve talked about in other power hours before where you can go into a site collection and then go to manage properties in site settings it’s in your search schema and do some fancy things in there to be able to create your own managed properties. But those are definitely some extra steps you’d have to go through to be able to do really much more custom filtering in here and more custom sorting as well. I like this setting down here to say hi the swept part if there’s nothing to show for example if you have a web part that showing all events that are happening this month you don’t have any just the Web part won’t show there if you if you don’t want it to. Right so let’s go through this exercise of having a library that and using tags and then showing how you can make it just show the content from that library. All right. So I’m going to go ahead and publish my page. [1:30.4]

[00:41:00] All right. I have all these lovely web parts that I put on my page. Now it’s a lot of scrolling right. We could definitely stand to get rid of this big empty space here. OK so let’s go ahead and I’m going to go on this little demo site that Corey created and I’m going to create a library in here since I don’t want to mess with my you know kind of creating that content in my actual tenant. I don’t want to create a bunch of mess in there so I’ll go ahead and go in here and do. [29.8]

[00:41:31] And and out and add a document library I call it policies. [5.9]

[00:41:37] You’ll notice that I use policies as an example in one of my demos are building those areas company policies right. So I’ll go ahead and create my policies and then I can see it here and go straight to the settings like this and I’m going to turn on. This is what I mentioned a minute ago the enterprise meta data and key word settings going to turn that on click OK. [28.4]

[00:42:06] As soon as I do that I’m going to have a new piece of metadata so I can actually add that to my view here. Let’s see if it gives me a quick way to show that it is enterprised the words all of that. [13.2]

[00:42:20] And then I need to save my view and go love the way the new way of working and views here. [8.1]

[00:42:29] OK so next I’m going to show you how we can make it so that everything that gets put in this policy’s library is just going to automatically get a certain tag that we assign in that way and users won’t have to know to go do anything it will just be you know it will just exist there and they don’t have a lot of extra work that they need to do. [20.8]

[00:42:50] So we can go to the library settings and then you guys sure are quiet. [12.2]

[00:43:05] Let me know if you have any questions and then go to is a little obscure. Default Value settings. Now if I have folders in my library this is also a good setting where I can define it. You know again I don’t recommend a whole bunch of folders or a deep set you know structure or folders but if you have maybe one maybe two levels of folders in your library you could click on each folder down here on the left and automatically set certain metadata to have certain values automatically when people drop things into that folder. So that’s what I’m going to do right now just for the whole library. So Enterprise keywords if I tried to just go into the library settings and click on enterprise key words and set a default value to it it would not exist. It doesn’t give me the setting there. That’s why I’m going to this page. [51.6]

[00:44:00] All right so I’m going to say when people put any files in this library I want the metadata to see what options it gives me policy. I want to be tagged with the meta data policy and I click OK. [15.9]

[00:44:16] So now I can see that that setting is in place and I go to policies and let’s go drag a couple of files in here so I have some demo files I think Company policies and I just drag those district from Windows Explorer and now I have three files in here so look at that magic. [26.3]

[00:44:42] So now they all have that key word policy to you guys like that. So this is probably nothing new to a lot of you but this is the functionality that you could use to make it so that when you’re displaying things in the highlighted content Web part that’s where you couldn’t make it. [18.8]

[00:45:01] Make sure that it shows just a certain subset of your data. Right. They might all be documents. They might all just be the generic document content type. You don’t necessarily want to go have to change all the content types. [12.0]

[00:45:14] That is an option but if all the stuff is in place already you could put some tagging in place and so then the way you set that up would be I’ll go edit my page in I almost click the dropdown to go to Edit it’s not there it’s over the top right go edit this part just a little kind of getting used to where to go in this new interface right. [23.7]

[00:45:40] OK here’s my filter. So filter is going to be on the remove kind of remove that filter and just kind of narrow it down. So don’t have too much going on in here. OK my filter is manage property my managed property that I selected as tags and then I can say contains policy so I don’t have anything. Let’s go see what my scope is. See it only says this site. I’ll just say all sites and see if it finds something. [30.3]

[00:46:11] Now I just added those files to that library. So those files that I just added are not immediately going to show up in my search results. So that’s one thing to kind of keep in mind with not only with this web part but with just the content search web part that you’ve been using is that it’s always going to have that little bit of a delay because all that content needs to be indexed. So I showed you a minute ago what it would look like if I didn’t you know tags contain like power for power hour so it does work. [29.9]

[00:46:41] But that’s the technique that you could use to make it show files from a certain library. Hopefully that helps you guys if you guys want to immediately start using this web part. You don’t have a way to modify what columns are showing though or anything like that. There’s no view settings. [16.8]

[00:46:58] It’s basically cards or list of moments as I was trying the other day set up a default default values for all the posters in my library when I wanted to update one value column default settings page was missing all the folders. That is weird of I’ve never seen that happen. So you had folders in your library in the column default settings did not see earlier folders. That’s very odd. I don’t know. No I think I can think of where it where the folders some weird kind. You know custom Content-Type or something like that for the folders. Sure. So that’s an obscure one. Hopefully that’s an obscure one. All right so let’s see I’ll go ahead and click publish. And the next thing to show you is ok once I’ve created one of these pages how do I make it be the home page for my site. [55.8]

[00:47:55] So you’ll need to go a couple of things. You’ll have to keep in mind that because I had tried this and kind of fumbled around and clicked around it had to do a couple of things to figure it out. First of all the site pages needs to be using the modern look so if you’re not sure yet the modern look for the lists and libraries can be found in the Advanced Settings. And that’s where you can change it to the new experiences the modern look and I and my whole tenant is set to modern. So it’s just set to default experience. So those site pages needs to be set to that and then also the page that you were editing needs to be published so if you haven’t published it like this one if you hadn’t published it it would show that little checked out icon to show that you’re still working on. So you actually have to have it published before you can do this. And then you select the file and then up here in the ribbon you have make home page. So that’s how I did create my idea of your mentor home. I went to site contents click new clicked page to create it worked on it published it and then went to site pages and shows make home page and now and this is the home page. And so now anytime somebody clicks home this is the page that they go to and it’s a big mess because I wrote my blog post editing that page. [1:23.6]
